Field Team Privacy Policy

This Privacy Policy explains what personal information Colorado Home Protection LLC ("CHP," "we," "us") collects from field scouts and captains through the Field Team Portal, how we use it, and how we protect it. By using the Portal, you agree to the practices described here.

1. Information We Collect

Account Information

When you join the Scout Network — either via an invitation link or by being added directly by CHP administration — we collect your name, email address, and role (scout or captain). We also record your IP address at signup for anti-abuse and account verification purposes.

W-9 Tax Information

To issue compensation and comply with IRS reporting requirements, we collect your legal name, mailing address, city, state, ZIP code, entity type, and Tax Identification Number (SSN or EIN) through the Field Portal. This information is stored securely and used solely for IRS reporting (1099-NEC) and payout processing.

Payout & Payment Information

We collect your preferred payment method (Venmo or Zelle), your payment handle (username or phone number), and your preferred payout frequency. This information is used solely to issue your compensation.

Activity Data

We record your onboarding checklist progress, call/referral history, payout history, and Portal usage within the Field Team system.

Prospect Data

When someone uses your personal booking link to schedule a consultation, their name, email, phone number, and appointment details are stored in our system and linked to your account for compensation tracking purposes.

2. How We Use Your Information

We do not sell, rent, or share your personal information with third parties for marketing purposes.

4. Data Retention

We retain your personal information for as long as your account is active and for a minimum of 5 years following the termination of your participation in the Scout Network, in order to satisfy IRS record-keeping requirements for contractor compensation (per IRS guidance on 1099 filing).

Payout and compensation records are retained for a minimum of 7 years to comply with federal tax law. You may request deletion of non-tax-required data by contacting us directly.

We take reasonable technical measures to protect your personal information, including encrypted data storage via Supabase, HTTPS for all Portal communications, and role-based access controls so only authorized personnel can view your data.

7. Children

The Field Team Portal is intended for individuals 18 years of age and older. We do not knowingly collect personal information from anyone under 18. If you believe a minor has accessed the Portal, contact us immediately.

8. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes via the Field Team Portal or by email. Continued use of the Portal following notice of changes constitutes your acceptance of the updated policy.
